We only collect information needed to operate Dactic and generate insights. We group this into three categories:

1.1. Account Information

Information you provide when creating or managing your account, such as:

• Name
• Email address
• Password (encrypted)
• Organization details

1.2. Interview and Research Data

Content created and collected inside Dactic as part of interviews, including:

• Text responses
• Audio or video recordings (when enabled)
• Transcriptions generated from these recordings
• Basic metadata such as timestamps and completion status

You and your organization own this data.

1.3. Usage Information

Basic analytics and log information to keep the platform running reliably and securely, such as:

• Device and browser type
• Pages accessed and actions taken
• Performance and error logs

We do not perform biometric profiling or unnecessary tracking.

2. How We Use Your Information

We use your data to:

• Operate and improve the Dactic platform
• Process interviews and generate insights, dashboards and reports
• Support Ask AI using only your organization data
• Provide customer support and communicate product updates
• Maintain security and prevent misuse of the platform

We do not use your interview data to train any public models or external AI systems.

3. Legal Basis for Processing (GDPR)

If GDPR or similar regulations apply, we process your personal data based on:

• Performance of a contract: to provide and operate the service you signed up for.
• Legitimate interest: to improve security, reliability and user experience.
• Consent: for recordings or optional information you choose to provide.

You may withdraw consent at any time, without affecting the lawfulness of processing before withdrawal.

4. How We Share Data

We only share data in limited situations:

• Service providers that support hosting, storage, analytics, communications and billing. They may only use your data to provide services to us.
• Members of your organization who have permission to access interview data, insights and reports.
• Legal and safety requirements where we are required to comply with applicable laws or enforce platform security.

We never sell personal information.

5. Data Security

We use technical and organizational measures to protect your data, including encryption, access controls and secure infrastructure. No system is completely risk free, but we work continuously to maintain a high level of security.

6. Data Retention

We keep your data while your account or organization remains active on Dactic. If you delete your account or organization, interview data, transcripts and recordings are permanently removed after a reasonable processing period.

7. International Data Transfers

Your data may be processed or stored outside your country, including in regions where our infrastructure providers operate. We use appropriate safeguards, such as Standard Contractual Clauses, to protect your data in line with GDPR requirements.

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Correct or update inaccurate information
• Request deletion of your data
• Restrict or object to certain types of processing
• Export your data in a portable format
• Withdraw consent where processing is based on consent

Dactic is not intended for individuals under 16 years of age, and we do not knowingly collect data from minors.
